BOARD OF DIRECTORS
President - Lead the Wilton Soccer Association in coordination with the Board of Directors and on behalf of membership in its purpose to provide opportunities for growth through soccer for the young people of Wilton. Assist in assessments of program strengths and weaknesses, enable strategic conversations among Board, gather and share key metrics and trends, communicate program updates, accomplishments and initiatives to the membership. Coordinate agendas for regular Board meetings; oversee Annual Meeting and all others as required. Foster valuable relationships among the community and ensure financial health, transparency and a bright future for WSA. Preside over Board of Director meetings. No voting authority other than in breaking a tie vote of the Board. Responsible for managing and executing the affairs of the organization and its agreements.
Treasurer - Monitor and report on the financial status of the Wilton Soccer Association. Review and approve all expenditures, refunds and contracts from a financial point of view on behalf of the organization. Ensure the long term financial health and sustainability of WSA.
Secretary – Record and produce minutes to Board Meetings. Retain and make available WSA policies as approved by the Board of Directors. Assist with other matters as relates to regular meetings, record keeping and policies as required. Assist on other initiatives and tasks of Board where possible and interested. Maintain the record of membership.
VP(s) Intramural Soccer - Coordinate WSA Intramural Program for Fall & Spring seasons for children age 3 to grade 2. Includes Tots/Pre-K, K-2 and other recreational offerings WSA may offer. Responsibilities include overseeing league directors (generally one director per league divided by grade/birth year and gender), parent coaches, professional coaches, parents of players, photography company, trophy company and shirt company.
VPs of Travel - Oversee the Boys and Girls Travel teams including parent volunteer managers to provide them assistance and guidance throughout the season as needed. Coordinate seasonal kick off meetings for parent managers. Ensure team rosters are accurate prior to team communication. Ensure team rosters are accurate and loaded into CJSA system with registrar. Recruit associate VPs of Travel to support management and communications as needed.
VP Programming & Tryouts - Work with coaching organizations and relevant VPs to coordinate annual and supplemental tryouts. Establish and communicate tryout dates, objectives, criteria and methodologies. Seek opportunities to improve processes, accountability and transparency through use of available tools, technology and resources. Coordinate additional program offerings considering feasibility/demand, value to WSA and community, pricing/budgeting, execution and economics to WSA. Develop and administer post-season and ad-hoc surveys to measure program success and membership satisfaction. Communicate observations and recommendations for improvements to Board, respective VPs of programs and coaching organization as appropriate.
Fields Director - Responsible for overseeing fields setup & take-down, fields coordination and assignment for Intramural and Travel programs. Monitor communications with respect to fields from Wilton Park & Recreation and ensure appropriate usage in accordance with town guidance. Responsible for overseeing equipment sourcing, replacement and storage and other related matters.
VP Jr. Referee & Tournaments - Oversee junior referee program including recruiting, training, onboarding, scheduling and payments in cooperation with Referee coordinator. Work with VPs of Travel to select number of and specific tournaments for teams to compete. Consider and seek to negotiate favorable terms with respect to tournaments for WSA teams. Manage and coordinate tournament applications and payments on behalf of the teams. Manage and coordinate applications for CT Cup with CJSA on behalf of teams.
VP Sponsorship & Fundraising - Coordinate all sponsorship opportunities for WSA working across the community to identify partnerships that can support our programs and members. Identify fundraising opportunities and coordinate with membership to execute. Coordinate WSA efforts with respect to annual scholarships including development of criteria, application process, application review, funding, selection and presentation.
Web Director and Technology - Responsible for all content and systems including website and the online registration systems. Provide oversight of data sharing with SWD and CJSA to support Registrar. Maintain and monitor WSA social media accounts. Create and/or manage community level email communications. Create print communications and flyers to be used in conjunction with website. Oversee website integration with any external systems. Manage any digital assets such as WSA logos, email, document storage. Encourage use of centralized tools for communications and content storage by Board of Directors. Consider and recommend tools to enhance efficiency of organization and its members.
Director(s) of Community Relations & WSA Culture - Develop and coordinate strategy to build and support Wilton Soccer Association’s reputation, culture and relationships within its programs, teams and among its families and the broader community. Support and foster WSA’s Wilton High School soccer partnership, cooperate with WSA board members on annual WSA jamboree and promote WSA participation in town events such as Memorial and Labor Day parades and others. Look for opportunities to share positive WSA stories and build relationships with the local media and community leaders. Work closely with Web Director on opportunities to share stories and events with our community through WSA channels.
WSA Parent Liaison Director(s) and Risk Manager - Provide avenue and point of contact for parents across all programs to share feedback on all aspects of the program with the appropriate WSA representatives. Coordinate opportunities for community engagement on important topics as appropriate. Create resources to leverage with respect to common questions and concerns, eg FAQ section of website, blog or other similar ideas. Point of contact for player and program related risks.
Director of Player Safety & Well Being - Monitor youth sports landscape and WSA for opportunities to offer education on important player safety and wellness issues such as concussions, over use and other soccer related injuries or challenges. Share and educate community, coaches and players through online resources and other appropriate means. Be available to discuss questions of player safety. Be a resource for parents and players to consult in cases of bullying and misbehavior among players.
NON-DIRECTOR ADVISORY ROLES
Legal Counsel - Provide legal advice and counsel to Wilton Soccer Association. Ensure all Risk and Insurance policies are maintained and up to date. Ensure due process around all matters related to bylaws, regular meetings, annual meetings and special meetings. Review and assist with all material contracts from a legal point of view. Assist rest of Board of Directors on other initiatives and tasks as needed.
NON-DIRECTOR / VOLUNTEER ROLES
Intramural (k-2) League Directors – Acting as commissioner of the league for a respective age group. Responsible for forming team rosters, practice & game schedules, and disseminating information to the coaches in a timely manner.
K-2 Managers/Coaches - Manage team communications and Coach K-2 weekend games.
Travel and Warrior Managers – Responsible for administrative roles of their respective team; the manager serves as liaison between the players, parents, coach and WSA, making sure all information, paperwork and schedules are collected, processed and communicated on a timely basis.
Community Relations Associates and Events Managers - Support VP of Communications and WSA Culture to plan, market and execute WSA events that support WSA mission and culture.
Sponsorship, Fundraising and Merchandising Associates - Coordinate with VP of Sponsorship and Fundraising to develop and execute key initiatives. Develop and execute WSA merchandizing strategy to build upon culture and support programs.
TOPS Soccer Coordinator - Work with community to bring TOPS Soccer to life for Wilton and nearby community. Coordinate program including awareness, registration and all activities.
Other Volunteers - WSA welcomes all interested volunteers to join us in helping to execute our various programs. We rely on our volunteers in so many ways and appreciate all of their support.
